Check a counterparty before you send a prepayment or the goods.
A new supplier, a new customer on deferred payment, a carrier from a freight exchange. Enter a NIP: does the company exist, who runs it, is it on a sanctions list, is it insolvent and does it have an account on the VAT white list.
- Sanctions: MSWiA, EU, OFAC
- KNF warnings
- Beneficial owners (CRBR)
- Financials and filings
- Bankruptcy, liquidation, KRZ
- VAT status and accounts
- Press coverage

What the law asks of an ordinary business
A wholesaler, a manufacturer, a haulier or an agency is not an obliged entity — the AML Act does not require them to run a procedure or assess client risk. Three duties, however, apply to every business:
- Sanctions. The act of 13 April 2022 on special measures against supporting the aggression on Ukraine prohibits making funds and resources available to persons and entities on the MSWiA list; EU regulations add to it. The ban applies to everyone, not only banks — paying an invoice to a company controlled by a listed person is a breach that carries an administrative fine. Details: sanctions lists.
- The VAT white list. A transfer above PLN 15,000 to an account outside the register means a lost tax cost and joint liability for the supplier's VAT, unless you file a ZAW-NR notice within 7 days or pay under split payment. More: VAT white list.
- VAT due diligence. A VAT deduction can be challenged if the business "knew or should have known" it was part of a fraud. A documented counterparty check before the transaction is the basic line of defence. See: due diligence.
The rest is not law but common sense: a prepayment to a company founded two months ago does not come back, and goods handed to a carrier with an invented company vanish with it.
Who checks what in a typical company.
Accountant — white list
Checks the account in the register before a transfer, because the VAT Act requires it. Stops there.
Sales rep — KRS
Sometimes glances at KRS to see whether the company exists and who signs. Does not read the shareholders.
Nobody — CRBR, sanctions, KRZ
Owners, sanctions lists and insolvency proceedings are checked by nobody, because it is "not our duty".
The result
A PLN 40,000 prepayment goes to a company founded two months ago, with PLN 5,000 capital and a three-week-old website.
Five signs of a shell company in one place.
None of them is decisive alone. Three at once — yes.
What the report gives a business
- A free basic check — KRS, the white list, REGON and VIES without an account: a NIP and an e-mail. Enough for "does the company exist and does it have an account in the register".
- The full report for PLN 39.36 — 18 sources: CRBR owners and KRS shareholders, sanctions lists (OpenSanctions with the MSWiA list, the EU list, OFAC SDN), KNF warnings, financial statements, MSiG and KRZ, UOKiK, BDO, press, domain age. Usually in a minute, at most three.
- A 0–100 score and a recommendation — a result in five domains with points for every finding; the report proposes a level of caution and actions: prepayment, a credit limit, payment on delivery or refusal. The rules are deterministic — methodology. The decision is yours.
- A PDF with an identifier and a timestamp — proof of due diligence for a tax inspection or a dispute with a trade credit insurer.
- A pack for the procurement team — 5 reports for PLN 98.40 (PLN 19.68 a report) or 20 for PLN 298.89, no expiry; companies get the first 2 reports free at /dla-firm.
An example from a freight exchange
A carrier offers a rate 20% below market for a PLN 180,000 electronics load. The forwarder enters the NIP.
| Domain | Finding | Points |
|---|---|---|
| I Identification | Company registered 3 months ago, PLN 5,000 capital | +25 |
| I Identification | Missing from the VAT taxpayer register | +20 |
| II Structure and UBO | No CRBR filing | +15 |
| V Reputation | Website domain registered a month ago | +12 |
Score: 72/100. Recommendation: do not release the goods; if you proceed anyway — only with insurance and after verifying the carrier's licence at source. Cost of the check: PLN 39.36. Cost of not checking: the load.
What the report will not show
Trade debts from BIG and KRD — the report shows proceedings from KRZ and MSiG, not arrears towards other companies. Foreign companies — beyond the validity of an EU VAT number in VIES. Natural persons as counterparties — the report works by a company's NIP. Alerts on changes at a counterparty are planned; today a re-check is another report.
Legal status as of October 2026. Informational material, not legal advice.
One report or the pack of 5 — for the procurement team.
